This policy explains how Dolan Enterprises LLC ("we", "us") collects, uses and protects information when you use NoteVortex (the "Service"), including our website at notevortex.com and our text message alerts.
Information we collect
- Account information: your name, email address, and, if you choose to provide it, your mobile phone number.
- Content you bring to the Service: recordings, transcripts and related details that you connect or import, and the summaries, action items and other results the Service produces from them.
- Connection details: credentials you provide to connect a recording service. We store these encrypted and use them only to fetch your recordings.
- Usage and technical information: sign-in events, IP address, browser type, and logs needed to run, secure and fix the Service.
- Cookies: we use a single essential cookie to keep you signed in. We do not use advertising or tracking cookies.
How we use information
- To provide the Service: analyzing your conversations and showing you the results.
- To send transactional messages by email or text, such as sign-in codes, review-ready notices, and account or security notices.
- To secure accounts, prevent abuse, and troubleshoot problems.
- To comply with the law.
We do not sell your personal information, and we do not use your recordings or transcripts for advertising.
Text messaging (SMS)
If you agree to receive text messages, we use your mobile number only to send the transactional messages described in our text message terms.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories of sharing described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
You can opt out at any time by replying STOP to any message.
How we share information
We share information only with service providers that help us run the Service, and only as needed for them to do that work for us. They include providers for hosting and databases, AI processing of your conversations, email delivery, text message delivery, and the recording service you choose to connect. They are not permitted to use your information for their own marketing. We may also disclose information if the law requires it, to protect the rights and safety of our users or the public, or as part of a merger or sale of our business, in which case this policy continues to apply.
Retention and deletion
We keep your content for as long as your account is active or until you delete it. When a recording is deleted at its source, we delete our copy and every result produced from it. You can ask us to delete your account and its data by emailing admin@notevortex.com.
Security
Sign-in requires both an emailed link and a code from an authenticator app. Connection credentials are encrypted, and data is sent over encrypted connections. No system is perfectly secure, but we work to protect your information and will notify you as required by law if a breach affects it.
Your choices and rights
You can view your results in the Service, ask us for a copy of your information, correct it, or ask us to delete it. Depending on where you live, you may have additional rights under local law. Email admin@notevortex.com and we will respond within 30 days.
Children
The Service is for business use by adults. It is not directed to anyone under 18, and we do not knowingly collect information from children.
Changes to this policy
If we make material changes, we will update the date above and notify account holders by email before the changes take effect.
